Privacy Policy

Effective Date: September 30th, 2025

This Privacy Policy explains what information VoxCura, LLC (the “Company” or “we” or “us”) collect when you use the VoxCura application (the "App"), how we collect, use, transmit, monitor, and store the information you provide, and with whom we share it. The App is a medical chat application, which utilizes AI-generated responses to discuss symptoms provided by you, and provides generalized descriptive guidance on potential medical conditions based on the information and responses provided by you, and may suggest next steps for diagnostic testing or similar. We have included specific details on the safeguards and risks associated with using the AI-powered features of the App. Your privacy and trust are of paramount importance to us.

1. Information We Collect

To provide you with our services, we collect the following types of information:

  • Information You Provide Directly:

    • Account Information: To create an account, you must provide an email address or authenticate through a third-party single sign-on (SSO) service (e.g., Apple or Google). We collect your email address or the account identifier provided by the SSO service and use it to provide you with results. If you enable location services on your device, you agree to our collection and use of the location information to provide improved results; if you do not want us to collect this information, you may adjust the location services settings on your device.

    • Demographic Information: This may include age, gender, and other demographic data that the App requests and that you choose to provide, at your sole option, to contextualize the App's guidance.

    • Health Information: This includes general descriptions of medical diagnoses, symptoms, treatments, medications, or other health-related information you input into the App to receive AI-generated insights and questions.

    • User-Generated Content: Any questions, notes, or free-text entries you submit within the App.

  • Information We Collect Automatically:

Log and Usage Data: We maintain internal logs of your interactions with the App. These logs include the information you provide (including Account, Demographic, and Health Information), your queries to the AI, the responses you receive, timestamps, your IP address, browser information (including your referring URL), and device information (such as operating system and App version).

2. How We Use Your Information

We use the information we collect for the following purposes:

  • To Operate and Provide the Service: We use your Account Information to manage your account and the Health Information you provide to generate responses from the Large Language Models (LLMs) that power our App.

  • To Improve and Develop Our Services: We analyze Log and Usage Data to understand user behavior, troubleshoot bugs, and improve the App's functionality. For internal analysis, we may pseudonymize this data (e.g., by separating it from your direct account identifier), but you should be aware that the logged information can still be linked to your account. In addition, we may remove all association with your Account Information from your queries to the AI and responses in order to anonymize the data, and use that data to build a database for our LLMs, algorithms, and data models, test and improve how existing products and services look and function, develop enhancements and new capabilities and features, and for other business purposes.

To Maintain Security and Stability: Log and Usage Data also helps us prevent fraudulent and other “bad actor” activity and ensure the security of the App and our platform.

3. Data Sharing with Third-Party Services

We do not sell your information that you provide to us when you use the App. However, we share information with third-party service providers that are necessary to operate our App and provide responses to your queries.

  • LLM Provider (for AI features):

    • Zero-Retention Policy: We have a contractual agreement with our LLM providers that enforces a zero-retention policy. This means they are prohibited from storing your information or using it to train their models after your query has been processed.

  • Infrastructure and Platform Services: We use the following third-party services to host and operate the App:

    • Amazon Web Services (AWS): For secure cloud hosting and backend infrastructure.

    • Google Firebase: For backend services, including user authentication, database management, and application analytics.

    • Apple (TestFlight): For distributing pre-release, beta versions of our App to testers. Users who participate in beta testing do so under the terms of Apple's TestFlight service.

4. Data Retention and Deletion

We retain your information and conversation logs with the App associated with your account for as long as your account is active or until you choose to delete them. We take commercially reasonable security measures to protect the security of your information, and the physical, process-based, and technological safeguards and measures we take to protect your information from accidental loss and unauthorized access, use, alteration, and disclosure are designed to be appropriate for the nature of the information, up to date, and satisfy applicable laws and regulations. This being said, no data transmission over the internet can be guaranteed as entirely secure. We cannot, therefore, ensure or warrant the security of any information sent to us over the internet. If there is reason to believe that an interaction with us is no longer secure, please notify us immediately. The safety and security of your information requires your active participation, including without limitation protecting and not sharing your access credentials, using strong passwords, and similar.

You are in control of your data. You can manage your information in the following ways:

  • You may delete specific conversation logs within the App at any time.

  • You may delete your entire account through the App's settings. Deleting your account will permanently remove your Account Information and its associated Log and Usage Data from our production systems, subject to our backup policies and any legal or security obligations that require us to retain certain information.

5. IMPORTANT NOTICE: Your Information is Linked to Your Account

This is an educational tool, not a secure medical record.

While we employ strong safeguards, the fact that your health-related queries are logged and linked to your account (via your email or SSO provider) presents a risk.

  • When using the App, you are never required to enter personally identifiable information (PII) or protected health information (PHI).  DO NOT enter PII or PHI in order to ensure that you keep it absolutely private.

  • When using the App, you are never required to use or provide your full name, Social Security Number, specific street address, insurance policy numbers, or any other information that could directly identify you or others in your conversations with the AI.

  • The purpose of the App is to understand a diagnosis in a general sense. Providing unique identifiers is not required or even necessary for the App to provide you with responses or to function effectively.

By creating an account and using this App, you acknowledge and agree that you understand these risks and that the information you provide will be linked to your account until you delete it.

6. Your Rights and Choices

The App and related services are intended for use only by United States residents, while located in the United States. The provision of the App and related services, and processing and use of the data you provide to us, is done in the United States. By inputting information and data when using the App, and/or by accessing and using the App and related services, you consent to the processing, transfer, and storage of such information and data on, in, and to our servers located within the United States.

As a United States-based service, we provide all users with the following rights:

  • Right to Access: You can request a copy of the personal information we hold about you.

  • Right to Delete: You have the right to delete your account and associated data at any time, as described in Section 4.

For clarity, you must be of legal age in your state of residency to use the App. The App is expressly not directed at or for use by children under the age of 13, and we do not allow children under 13 years of age to use the App or our services. If we learn that we have collected information of a child under the age of 13, we will delete it. We encourage parents with concerns to contact us immediately.

This verification may involve requiring you to respond to us to confirm your request from the email address associated with your account.

"Shine the Light" Law

California's "Shine the Light" law (Civil Code Section § 1798.83) permits users of our App that are California residents to request certain information regarding our disclosure of personal information to third parties for their direct marketing purposes.
